Interactive Planner

Fill-Rate & Recruit Planner

Work backward from a dollar goal. Enter the amount you need to raise, and see how many fundraisers it takes at different fill rates. Face value for a 31-day calendar is $496. At 75% fill, you'd need ~14 fundraisers to model a $5,000 campaign.

How to use

How the fill-rate planner works

1

Enter your fundraising goal

Set the dollar amount your campaign needs. This is the number the planner will work backward from.

2

Choose your month length

Select 28, 29, 30, or 31 days. Face value changes accordingly (31 days = $496 per calendar).

3

Optionally enter committed fundraisers

If you already have people confirmed, enter that count to see the recruitment gap.

4

Adjust planning fill rate

Use the slider to model optimistic (85–100%) or conservative (60–75%) assumptions. The planner shows scenarios across the range.

5

Review your recruit plan

See how many fundraisers you need, the gap vs. committed roster, and weekly checkpoint targets. Share this with your board or leadership team.

Reference tables

Fundraisers needed by goal (31-day month)

Quick reference for common goals. Formula: fundraisers ≈ goal ÷ ($496 × fill rate).

These are modeled scenarios—not guarantees.

$2,500976
$5,000171411
$10,000342721
$15,000514131

Example: A $10,000 goal at 75% fill needs ~27 fundraisers (each sharing their own calendar). At 100% fill, it's 21 fundraisers. Over-gives can reduce headcount further.

Two directions, same math

Fill-rate planner vs. calculator

Both tools use the same formula. The planner works backward from a goal; the calculator works forward from a roster size.

FAQ

Common questions

Answers about fill rate, the math, and planning your roster.

Fill rate is the percentage of day slots claimed across all fundraiser calendars. 100% fill means every day on every calendar is claimed at face value or more. 75% fill means three-quarters of days are claimed on average. Fill rate is the biggest variable in campaign totals after roster size.

Use the inverse formula: fundraisers ≈ goal ÷ (face value × fill rate). Example: $5,000 goal ÷ ($496 × 75%) ≈ 14 fundraisers at 31-day, 75% fill. The planner calculates this automatically for different fill assumptions.

Model forward estimates

Most organizers plan for 60–75% as a working band. Treat 100% as the face-value ceiling, not the base case. A smaller roster that fills most days often outperforms a large roster of empty calendars. The planner shows scenarios at 60%, 75%, 85%, and 100% fill.

The calculator works forward: enter fundraiser count and fill rate → see modeled total. The fill-rate planner works backward: enter a goal → see how many fundraisers you need at different fill rates. Same math, opposite direction.

No. All numbers are modeled planning scenarios—not promises. Actual totals depend on how many fundraisers you recruit, how well they share their calendars, and whether donors give at or above face value. Over-gives can push totals higher than the base estimate.

Weekly checkpoints are illustrative pacing targets—not guarantees. They suggest how fill might progress over the month (e.g., ~25% by end of Week 1, ~50% by Week 2). Use them to gauge momentum, not as a contract.
